Casino Direct Mail Formats and Offers That Bring Players Back
Casino mail works when the format fits the message and the offer fits the player. A postcard is fine for a single free play reminder. A monthly mailer with an event calendar and a sheet of coupons does a different job. If your shop produces casino marketing mailers, knowing which format carries which offer makes the data, the merge and the press run much easier to plan.
Common casino mailer formats
Most casino direct mail examples fall into a handful of formats. Each one has a natural job. Our casino direct mail page covers how we produce them.
| Format | Best for | Production notes |
|---|---|---|
| Oversized postcard | One offer, short deadline | Fast to produce, offer and barcode on the address side |
| Self-mailer | Two or three offers plus a promotion | Folded and tabbed, more room for variable panels |
| Letter package with offer sheet | Higher-value players, multiple coupons | Inserting and matching, every component keyed to the record |
| Monthly event calendar or multi-panel mailer | Core monthly mail to active players | Calendar is static per market, offers vary per player |
| Tier or players club mailer | Tier changes, status upgrades, card renewals | Tier art and benefits vary by version |
| Birthday or anniversary piece | Personal milestones | Mail date driven by the date field, not a campaign calendar |
Oversized postcards
The postcard is the workhorse for reminders and short-term offers. The player sees the offer without opening anything.
Self-mailers
A folded self-mailer fits a promotion, a couple of offers and a calendar strip. It is the middle ground when a postcard is too small and a letter package costs too much for the segment.
Letter packages with coupon or offer sheets
Higher-worth players often get a letter with a perforated offer sheet. Print a match code on each component and verify it at inserting, or merge everything onto one sheet.
Event calendars and multi-panel mailers
The monthly core mailer pairs a calendar of events with personal offers. The calendar stays static per market. The offers, names and barcodes change on every piece.
Tier and players club mailers
Players club mailers announce tier upgrades, show how close a player is to the next tier, or carry a new card. The tier field picks the artwork and benefit copy.
Birthday and anniversary pieces
These are driven by a date in the player record rather than a campaign schedule. The triggered casino mail programs article covers how to run them alongside welcome, decliner and win-back mail.
Casino direct mail offer types
The common casino direct mail offers fall into a few groups.
- Free play. The most common offer. Usually issued in a few tiers of value and loaded to the player's account when redeemed.
- Food and beverage. Buffet, restaurant or bar credit. Good for players who visit with a guest.
- Hotel. Room offers for players who travel in or stay overnight. Often tied to specific dates or midweek stays.
- Event and drawing entries. Bonus entries, multipliers or invitations to a drawing or tournament.
- Tier-based offers. Benefits that depend on club status, such as earning multipliers or priority invitations.
Many pieces combine two or three of these. A self-mailer might carry free play, a dining credit and a drawing multiplier, each with its own barcode.
How player data sets the offer
Offer amounts should come from the player database, not a one-size grid. The usual inputs are the player's worth or average daily theoretical (ADT), visit frequency, tier and redemption history. Distance from the property matters too, since a player three hours away needs a bigger reason to make the trip than a local.
Write the offer rules once, in a stored procedure or rules table, and let every mailing use them. Your client's finance team reviews the logic in one place, and your shop gets a file with the offer value, code and version on each record.
Personalization that matters
- Name and greeting in the body copy, not just the address.
- Offer amounts printed per player, pulled straight from the offer field.
- Expiration dates per player or per drop, so offers do not expire before the piece lands.
- Variable images, such as a drive-time map from the player's home to the property. See variable images.
- Barcoded or QR offer redemption, with a unique code per offer per player.
A VDP engine handles all of this in one merge. Offer text, values, barcodes and images change per record while the output stays in presort order. That is the core of SQL-to-press automation.
Timing and in-home dates
Casino offers have short windows, so the in-home date matters more than the mail date. Mail too late and part of the window is gone.
Put a Full-Service IMb on every piece. Informed Visibility (IV-MTR) then provides piece-level scan data for that mail, so you can see when and where each piece was scanned. Over a few drops you learn how far ahead of the offer start date each market needs to mail. Some casinos also run Informed Delivery campaigns, which add a color ride-along image and a link to the email that residents receive about incoming mail. See USPS mail tracking for how the scan data is collected and reported.
Compliance basics
Casino mail carries rules other mail does not. Responsible gaming messaging is expected on most pieces, and the required wording, placement and offer terms vary by state and by tribal gaming regulations. Self-excluded players and do-not-mail requests must be suppressed on every drop. Treat these as requirements your casino client defines, and check with their compliance team before you lock the template.
Tracking redemption back to the player database
Each offer should carry a unique code that the players club or point-of-sale system scans at redemption. The redemption is recorded against the player record. Load those redemptions back into the database on a schedule and you can report response by format, offer type, tier, version and market.
Join that to the IMb scan data and you can measure the time from in-home to redemption. Database optimization typically cuts mailing expense 20 to 30 percent and lifts response 20 to 30 percent, mostly by stopping mail to players who will not respond.
